POSITION TITLE: Program Support Assistant 

DEPARTMENT: Energy & Utilities Program
REPORTS TO: Energy & Utilities Program Director

SUPERVISES: N/A
POSITION TYPE: Full-time, nonexempt, temporary (non-permanent)

SCHEDULE: Up to 40 hours/week; June 1 – October 31 

Priority deadline: 8 a.m. on Monday, May 6.

Anticipated Start Date: June 1

JOB SUMMARY: Responsible for providing direct services for clients of the Energy & Utilities Program. Responsibilities include providing information and services to individuals seeking energy or other utility assistance, determining service eligibility, checking and processing applications, data entry, and filing. This is primarily a direct-service position with the balance of time spent performing general administrative tasks and service coordination.

OVERVIEW OF RESPONSIBILITIES: Includes, but is not limited to:

  • Intake, eligibility and application processing:
    • Take phone calls from and meet with clients to provide information about the available programs and collect information from individuals seeking assistance.
    • Determine service eligibility based on program requirements and information provided by the applying individual(s).
    • Ensure all applications are processed correctly, checking for accuracy in a timely manner
    • Process purchase orders in a timely and accurate manner.
  • Services coordination and maintenance:
    • Schedule energy assistance appointments.
    • Keep complete and orderly files.
    • Perform accurate data entry into all databases as required.
    • Assist as required in preparing periodic reports.
  • Performs other related duties as assigned

QUALIFICATIONS:

Education & Experience – Relevant experience and/or education may be substituted for either education or work history.

  • High school diploma or GED; Associates degree in Human Services or related field preferred
  • Two (2) years’ experience in an office environment, preferably at a non-profit or human/social services agency
  • Bilingual (English/Spanish), strongly preferred

  • Working knowledge of computer operations; ability to comfortably use various software programs including Microsoft Word, Excel, Outlook, Teams, and CAP60
  • Demonstrate good organizational/time management abilities
  • Ability to analyze grant guidelines and exercise sound judgment in applying guidelines accurately and consistently.
  • Ability to compile and to accurately input and organize data, information, and files.
  • Excellent oral and written communication language skills.
  • Ability to adhere to a high degree of confidentiality, tactfulness, and respect for clients.
  • Ability to meet multiple, sometimes conflicting deadlines or workload demands by using strong organizational skills and efficiently managing time.
  • Ability to work proactively and independently, and with a team to achieve goals and assignments.

WORK ENVIRONMENT: Work is performed in an office environment.
